Privacy Policy — ProjectInbox

1. Who we are

ProjectInbox is a product of ProjectInbox B.V., based in the Netherlands. We offer a SaaS application that helps installation companies and other entrepreneurs keep their project-related emails organised.

2. What data we collect

Account data: name, email address and hashed password upon registration.
Mailbox content: emails you connect via IMAP or Microsoft OAuth are processed for AI analysis and project linking.
Usage data: technical logs for debugging and security.
Payment data: processed by our payment provider; we do not store credit card details.

3. How we use your data

Providing and improving the ProjectInbox service.
AI processing of emails for automatic project linking.
Transactional emails (invitations, confirmations, billing).
Customer support.

4. Legal basis for processing

We process your data on the basis of contract performance (Art. 6(1)(b) GDPR), your consent (Art. 6(1)(a) GDPR) or our legitimate interest (Art. 6(1)(f) GDPR) for security and fraud prevention.

5. Retention period

Your data is retained for as long as your account is active. After account deletion, your data is erased within 30 days, unless a statutory retention obligation applies.

6. Third parties and sub-processors

Supabase — database hosting (EU)
Vercel — application hosting
Resend — transactional email
OpenAI / Anthropic — AI processing of emails (no storage for training)
Microsoft — optional Outlook OAuth connection

All sub-processors are GDPR-compliant and have a data processing agreement with us.

7. Your rights

You have the right to access, rectification, erasure, restriction of processing and data portability. You can exercise your rights via privacy@projectinbox.nl. We respond within 30 days.

8. Cookies

We only use functional cookies that are necessary for the operation of the service (session management). No tracking or advertising cookies are used.

9. Changes

We reserve the right to amend this policy. For material changes we will notify you by email. The current version is always available on this page.
